Privacy Policy

Last updated: October 26, 2026

This policy explains what personal information we collect, why, who sees it, how long we keep it, and how you can ask us to delete it. It covers two things: this website, and the Meta app we build for client businesses, RIS Business Connect (the "App"). If you only want to request deletion, go to Data deletion.

Who we are

Reed Industrial Systems, LLC ("RIS", "we", "us") builds and deploys AI and automation for businesses in East Tennessee and the surrounding region.

For the App, we act as a service provider. The business that connects its Facebook Page or Instagram account to the App (the "client") owns that account and the information in it, and decides what the App is used for. We handle that information on the client's behalf, under a written agreement with the client.

Visitors to this website

The booking form. If you send the form on our Contact page, we receive what you type: your name, company, role, email address, phone number, business type, location, what you would like AI to help with, and your message. We use it to reply to you and to scope an AI Assessment. The form is delivered to us by email through an email delivery service. We don't use it for advertising and we don't sell it.

Spam protection. To limit abuse, the form has a hidden field that only bots fill in, and it limits how many times one connection can submit in an hour. For the limit we keep a scrambled, one-way fingerprint of your IP address, not the address itself. It expires within an hour.

Hosting. The site is hosted by Cloudflare. Like any web host, Cloudflare processes your IP address and basic request details (such as the page you ask for and your browser type) to deliver the site and protect it from attacks.

Analytics. We use Cloudflare Web Analytics to see how many people visit and how quickly pages load. It doesn't use cookies, and it doesn't track you across other websites. For each visit it records basic details such as the page viewed, the site that referred you, your browser and device type, your country, and page-load timings.

Cookies. This site doesn't set cookies of its own, and has no advertising or social media trackers.

How long we keep form messages: 24 months after our last contact.

What the Meta app accesses

The App works only on Facebook Pages and Instagram professional accounts whose owner has connected them. It is not a consumer app, and nobody signs up for it to message a business. If you message or comment on a client's Page or Instagram account, the App can see:

  • the direct messages sent to the client's Page or Instagram account;
  • comments on the client's posts;
  • your name as it appears on Facebook or Instagram, and your platform ID (the number Meta uses to identify you to that business);
  • the order details you give in a message or on the client's order form, such as what you want and how to reach you.

Please don't send passwords or payment card numbers in a message.

Why. The App helps the client business that authorized it handle orders. Depending on how that client sets it up, it can read new messages and comments, send the client's order form or order updates in wording the client has approved, and turn a completed order into a draft invoice. Some clients choose to start every conversation themselves; for them the App never sends the first message or replies to comments on its own. The client reviews and approves each invoice before anything is sent or charged.

What we don't do.

  • We don't sell, rent or trade this information.
  • We don't use it for advertising, marketing or profiling, ours or anyone else's.
  • We don't use it for anything beyond the orders of the client that authorized the App.
  • We don't combine one client's information with another's.
  • We don't let AI providers train on it (see Where the information goes).

Where the information goes

  • The client's own systems. Order and invoice details go to the systems the client already uses, such as its invoicing, payment and bookkeeping software. The client owns those accounts. Once information is there, the client's own policies apply to it.
  • AI processing. We use AI to read messages and fill in orders. Information from Facebook and Instagram goes to AI only through business or API accounts whose commercial terms prohibit the provider from training its models on it. For other client information, such as order forms, the client's agreement with us states which AI terms apply; in every case, model training is turned off.
  • Infrastructure providers. Companies that host and run the App for us handle the information only to provide that service.
  • Legal requests. We may disclose information if the law requires it, and we will tell the client when we are allowed to.

Facebook and Instagram are Meta services. Meta's own privacy policies apply to what you do there: Facebook and Instagram.

How long we keep it

  • Message and comment content: no longer than 90 days after the order it relates to is completed.
  • Technical logs: 90 days.
  • When a client ends its authorization: we delete that client's Meta information from our systems within 30 days.
  • Information already in a client's own systems follows the client's retention. The client may need to keep invoices and bookkeeping records for tax and accounting reasons.

If you ask us to delete your information sooner, we will. See Data deletion.

How we protect it

  • Information moves between Meta, the App and the client's systems over encrypted connections.
  • The App asks for only the Meta permissions it needs, through authorizations the client grants.
  • Where a client asks us to set up and manage accounts for it, the accounts stay in the client's name. We keep logins and access keys in a password manager, separate for each client, load them only when we work for that client, and give the logins to the client on request.
  • Nothing is sent, published, paid or deleted in a client's systems without the client's approval, unless the client has set a standing rule in writing.
  • We keep a record of each access a client has granted, and remove it when the work ends.
  • Storage: RIS business cloud storage (Microsoft 365), encrypted at rest, and each client's own systems; the app runs with our hosting provider.

No system is perfectly secure. If we learn that information we hold was accessed without permission, we will tell the affected client promptly.

How a client's authorization is revoked

The client controls the connection and can end it at any time, in either of two ways: remove the App from its Facebook Page or Instagram account in Meta's settings, or email us. When access ends, the App stops reading and replying right away, and we delete the client's information as described above.

Step-by-step instructions are on the Data deletion page.

Your requests: access, correction, deletion

You can ask us what information we hold about you, ask us to correct it, or ask us to delete it. Email info@reedindustrialsystems.com. To delete, follow the steps on Data deletion. We respond within 30 days.

Because we handle this information for the client, we may share your request with the client so it can deal with the copies in its own systems. We won't make you pay or treat you differently for asking.

Children and changes

Our services are for businesses. We don't knowingly collect information from children under 13. If you think a child has sent us information, email us and we will delete it.

If we change this policy, we will update the date at the top. If a change affects how we handle information the App has collected, we will tell the clients that use it.
